Duties

The Donor Relations Coordinator supports the mission of The Everglades Foundation by providing administrative, creative, and detail-oriented support for the Vice President of Development and the Development team to ensure donors are valued, understood, and deeply connected to the work of The Everglades Foundation. The Donor Relations Coordinator performs general office duties, responds to routine inquiries, communicates with management, staff, board members, and donors in a timely manner with a high level of customer service.

The Donor Relations Coordinator is responsible for executing donor engagement and communications, with a focus on personalized, meaningful interactions that improve donor loyalty and satisfaction. The Donor Relations Coordinator must be able to handle sensitive and confidential information with discretion. The Donor Relations Coordinator demonstrates a passion about building and nurturing relationships while offering exceptional service and communication.

Primary Responsibilities

  • Provide administrative support for the Vice President of Development and the Development team.
  • Perform routine office functions to include greeting or assisting visitors, managing calendars and schedules, coordinating internal and external meetings, responding to, and addressing inquiries, assembling confidential and sensitive information.
  • Assist with travel arrangements and preparing expense reports as assigned.
  • Compiles basic research for current and prospective donors and assists in maintenance of gift and biographic records.
  • Respond to donor inquiries and provide exceptional customer service. Coordinate personalized donor communications and meaningful interactions to execute donor acquisition and stewardship strategies, ensuring donors feel appreciated, informed, and inspired.
  • Assist in the coordination and implementation of presentations, tours, events, and activities that support the Development department and the donor experience.
  • Assist with preparation and mailing of donor appeals and special communications that celebrate generosity and foster lasting connections.
  • Work in collaboration with the Director of Development Services and Development Services Coordinator to provide support for processing gifts and grants.
  • Review and edit donor information and other data used for donor recognition and external stewardship reports to ensure accuracy.
  • Conduct research on prospective corporations, foundations, groups, and individuals.
  • Assist with compiling donor profiles for events, meetings, and other activities.
  • Assist with the creation and assembly of proposals, presentations, and materials to help execute fundraising campaigns, as requested.
  • Handle sensitive and confidential information with discretion.
  • Perform other related duties as required or directed. The omission of specific duties does not preclude the supervisor from assigning duties logically related to the position.

Accountability

The Donor Relations Coordinator reports directly to the Vice President of Development and coordinates closely with members of the Development department, administrative staff, and other Foundation staff.

Qualifications

Knowledge, Skills & Abilities

  • Proficient in computer programs and software, such as Microsoft Office Suite (Outlook, Excel, PowerPoint, Teams) and Salesforce CRM.
  • Excellent time management and organizational skills.
  • Excellent interpersonal skills and ability to communicate clearly and concisely, both verbally and in writing.
  • Collaborative attitude and proactive willingness to work with colleagues.
  • Detail-oriented with a high level of accuracy.
  • Strong problem-solving and analytical skills.
  • Ability to assess, manage, and successfully complete multiple competing priorities and deadlines.
  • Ability to be flexible and work under deadlines and time constraints.
  • Ability to maintain strict confidentiality of all database records and donor information.
  • Enthusiasm for the Everglades and/or the environment and keen interest in working in nonprofit or science-related communities.

Qualifications

  • Associate’s degree in business or a related field required; Bachelor’s degree preferred.
  • A minimum of three years' experience in an administrative or customer service/client relations position, preferably at a non-profit organization.
  • Proficiency in Microsoft Word, Excel, and PowerPoint.
  • Salesforce database management experience a plus.
