Essential Responsibilities:

Maintaining the professional character of the office, including organizing supply room, kitchen, conference areas, and other communal spaces
Tracking, maintaining and ordering office and kitchen supplies to ensure key supplies are never out of stock
Maintaining an accurate inventory of durable goods;
Providing administrative support for home office financial activities and all indirect spending;
Track and process office operations monthly invoices;
Primary responsibility for the procurement of indirect goods and services;
Collecting, sorting, and distributing mail;
Updating and maintaining company phone system and directory, and staff phone lists, including office, personal, and emergency contacts, Answering and screening phone calls;
Coordinating with our remote IT consultant to provide assistance to staff
Serving as the point of contact with the landlord and building management for all facilities related matters; and
Maintaining office security;
Maintain and serve as a helpdesk for various DI systems;
Maintain and update DI HQ operations manuals and training;
Coordinate the recruitment and interview process


Required Skills and Qualifications:

Bachelor’s degree in business, finance, human resources, or a related field;
work experience in an administrative support position preferred;
Ability to handle confidential information and maintain confidentiality;
Strong organizational skills and ability to handle multiple demands, prioritize and produce high quality work under pressure;
Commitment to accuracy in all tasks and attention to detail and follow up is essential;
Ability to take initiative, function independently and exercise good judgment;
Ability to apply a strong customer focus orientation to understand and resolve administrative and operations issues;
Strong interpersonal and communication skills; and
Proficiency in all Microsoft Office applications, basic hardware setup and maintenance.
Fluency in English and excellent writing and communications skills; and
Authorized to work in the U.S.
