The Office Assistant provides general office support and assistance to employees, guests, and vendors.
Process and deliver incoming mail, packages, and deliveries. Collect outgoing mail and packages for shipping.
Monitor workrooms and pantries ensuring that spaces are neat and tidy, and all equipment is operable. Also, fill printers with paper.
Maintain adequate funding levels on mail machines.
Empty, refill, and maintain coffee, juice, and soda machines.
Order, maintain and stock pantry supplies (teas, paper towels, coffees, plastic ware, plates, etc.)
Order, maintain, and stock office supplies (pens, pencils, paper, paper clips, scissors, etc.) in workrooms on each floor.
Clean, straighten up, and maintain neat and tidy conference rooms.
Assist with setup and coordination of meetings and events.
Generate, assign, and respond to work orders in timely manner.
Compile and distribute supplies to new hires.
Post notices and signage to staff throughout building.
Provide backup security support and assist with lockouts.
Send inter-office mail to other office locations.
Ship office supplies to off-site/remote employees.
Assist with other Facilities-related duties as assigned.
High School Diploma required, college degree is preferred
1+ years of experience providing customer service or administrative support
Excellent written and communication skills
Excellent customer service skills
Ability to be resourceful and proactive when issues arise
Ability to contribute positively as a member of a team
Ability to organize, prioritize, and multi-task
Proficiency in Microsoft Office Suite, preferred knowledge of facility management software
Ability to regularly lift, hold and carry objects weighing up to 50 pounds
Mobility to stand for extended periods, sit, walk and bend
Ability to work overtime as needed
