AmeriCorps VISTA- Database Coordinator and Grant Researcher
Catholic Charities Louisville
About the organization
Our Development Department is tasked with recruiting, managing, and reporting our volunteers’ time. This management is being done through the Little Green Light (LGL) database. However, this database requires major cleaning as the information that had been put in it is, in many instances, incorrect not only for volunteers but for donors as well. Better organizing and controlling this information going forward is needed. Best practices need to be researched, created, and shared with staff. Our agency is using the GrantHub portal to manage grant applications, grant reports, and potential grant applications. Similarly to LGL, many staff had worked in the past on putting information in GrantHub. Presently, there are 114 entries in GrantHub that need to be reviewed, updated, or removed from the database. Our agency does rely on federal and private funding. Presently, our Development Department does not have a staff member dedicated to search for new funding.
The VISTA will be working closely with both the Director of Development and CCL’s Little Green Light (LGL) Volunteer Coordinator to clean up and improve the functionality and management of the volunteer and donor database. It is the key to donors, volunteers, corporations information as well as communication. VISTA will also work with the finance department around best ways to reconcile data. The VISTA will also assist the Grants Team in updating and managing the GrantHub database to clarify job flow. VISTA will teach others how to use the system in a way that creates procedures to data entry streamlines the organizations use of the two databases and will create of a training manual that showcases best practices, rules and guidelines for data entry. In addition, he/she will assist in researching grant the opportunities.
